GUCML is a 501(c)(3) non-profit that identifies and supports exceptionally able children, using published chess results as an objective entry filter.
This policy describes how we handle information. The Parental Consent Form each family signs is the operative document for a child's data; where this policy and that form differ, the Consent Form governs.
Protection of minors is the point of the whole design.
To run the program: verify eligibility, select the Legionnaires list against the published objective criteria, award and pay prizes, organize tournaments and training, and mail materials and payments.
To make a child's achievements visible to partner organizations — only where a parent has separately opted in, and only within the limits set out in the Consent Form.
We collect: name and age; city and state; home address, used only for mail and payments and never disclosed to partners; chess record from published USCF and FIDE sources; results in mathematics, programming, science and other fields; portfolio materials; subjects of interest; and parent contact details.
We do not collect health information or family financial information.
Selection runs on published objective criteria — rating thresholds by age group, and first place in a National Scholastic Championship. Decisions are made by people against those published criteria. We do not use automated profiling to decide a child's selection, standing or prizes.
We do not sell personal information and receive no consideration for disclosing it. Sharing with verified partner organizations happens only where a parent has opted in, and can be withdrawn at any time. Your information is stored and processed in the United States.
While your child takes part, and for 20 years afterwards, then deleted. Identity documents used to verify parental status are deleted immediately after verification. Records of prizes are kept as long as tax law requires.
Data is encrypted in transit and at rest with AES-256. Access is limited to named administrators. If we discover a security incident affecting your information, we will notify you and the relevant authorities without undue delay, as applicable law requires.
Review, correct, delete, withdraw any optional consent, or object to an individual partner. Deleting the record ends participation, because the program cannot run without it; nothing else on this list has that effect.

If you reside in California, the CCPA as amended by the CPRA applies. Your rights to know, delete, correct and to non-discrimination are set out in Section 9. We do not sell personal information and do not share it for cross-context behavioral advertising. California law prohibits the sale or sharing of personal information of a consumer under 16 without affirmative authorization — from a parent for a child under 13, and from the child themselves for ages 13 to 15.
On your child's eighteenth birthday the profile is frozen and partner access stops. We contact your child and ask whether they wish to confirm, change or delete it. Nothing resumes until they answer.
